Document Preparation

Upload, categorize, and organize case documents, draft correspondence, and use templates on behalf of lawyers.

Last updated: July 2026

Overview

Document preparation is a core responsibility for paralegals. AdlDesk allows you to upload documents on behalf of lawyers, organize case files, draft standard correspondence, and work with pre-built templates. This page explains how to use each feature effectively.

Document Preparation

Uploading Documents

To upload a document, open the relevant case and navigate to the Documents tab. Click Upload Document and select the file from your computer. Supported formats include PDF, DOCX, XLSX, JPG, and PNG. The maximum file size is 50 MB per file. You can upload multiple files in a single session by selecting them together in the file picker.

Setting Category and Linking to a Case

After selecting a file, you must assign a document category before saving. Available categories include: Court Filing, Evidence, Correspondence, Contract, Power of Attorney, Identity Document, and Other. Choosing the correct category ensures the document appears in the right section when lawyers and clients browse case files.

Drafting Correspondence

Use the New Document button with the Correspondence template to draft letters, notices, or formal communications. Fill in the recipient, subject, and body. The system automatically stamps the firm letterhead and date. Save the draft and notify the responsible lawyer via chat for review before sending.

Organizing Case Files

Documents are automatically grouped by category within each case. You can rename any document by clicking its name and typing a new one. You can also add tags (such as "urgent", "signed", "pending review") to make searching faster. Drag-and-drop reordering is available within each category group.

Downloading Templates

Access the Templates section from the sidebar under Documents. Download standard legal templates provided by your firm administrator. These include common motion formats, engagement letter templates, and court submission forms.

Tip: Always rename uploaded files to something descriptive before saving, for example "Lease Agreement - Signed - 2025-03-15" rather than the default camera or scanner filename.
Important: Uploaded documents are immediately visible to all case team members. Do not upload draft versions that are not ready for lawyer review — use the Notes section instead to flag work in progress.
