Use chat to communicate with lawyers and admin, notify about client arrivals, and share schedule updates.

Overview

The chat system in AdlDesk is your primary channel for internal communication. As a receptionist you use it to notify lawyers of client arrivals, relay messages about schedule changes, and coordinate with the firm admin on client intake matters. Your chat access is limited to internal staff — you cannot view case details or financial records, and you cannot initiate direct conversations with clients through the platform.

Communicating with Lawyers and Admin

Click the Chat icon in the left sidebar to open the messaging panel. Your existing conversations are listed by most recent. To start a new conversation, click the compose icon and search for a lawyer or admin by name. Type your message and press Enter to send. Keep messages concise and action-oriented — for example, "Mr. Abdullah Al-Rashidi has arrived for the 10:30 appointment with lawyer Nour."

Notifying Lawyers of Client Arrivals

When a client arrives for their appointment, send a quick message to the responsible lawyer with: the client's name, the appointment time, and any relevant note (such as the client arriving early or bringing additional documents). This gives the lawyer time to wrap up their current work before receiving the client. Standard message format: "[Client Name] has arrived — [appointment time] — [any note]."

Sending Messages About Schedule Changes

When a client calls to reschedule or cancel, notify the affected lawyer immediately via chat before making changes in the calendar. Include the original appointment details and the requested change. Wait for acknowledgment before updating the calendar event. This prevents situations where the lawyer has already prepared for an appointment that was cancelled without their knowledge.

Sharing Information in Chat

You can attach files or share information in chat conversations. For example, you can forward a client's identification document scan to the admin for record verification. Use the paperclip icon in the message input bar to attach a file. All file transfers in chat are logged for security and compliance.

Tip: Set up quick-reply templates for the messages you send most often — such as client arrival notifications. Contact the firm admin to have these added to your account so you can send standard messages with a single click.
Important: Do not share sensitive client information (national ID numbers, financial details, case information) in chat messages unless specifically instructed to do so by a lawyer or admin. Use the formal intake and document upload features instead for official data entry.
