Office Expenses

Record and monitor all office overhead expenses — recurring and one-time — and compare against monthly budget targets.

Overview

The Office Expenses module tracks all overhead costs of running the firm — expenses that are not billable to any specific client. It supports both recurring monthly obligations and one-time expenditures, and allows you to compare actual spending against a budget.

Recording a New Office Expense

  1. Click Add Expense.
  2. Select the Category.
  3. Enter the Amount and Date.
  4. Write a Description (e.g., "Monthly internet bill — Etisalat invoice #98765").
  5. Toggle Recurring to Yes if this is a repeating monthly or periodic expense. This creates a reminder when the next payment is due.
  6. Select the Payment Method used (cash, bank transfer, card).
  7. Click Save.

Monthly and Quarterly Summary

The summary section below the table shows total spending per category for the selected period. Toggle between monthly and quarterly views using the selector in the top-right corner.

Budget Comparison

If a monthly budget has been set for each category (configured in Firm Settings), a progress bar appears next to each category total, showing how much of the budget has been used. Categories that have exceeded budget are highlighted in red.

Tip: Mark rent, electricity, and internet as recurring expenses so the system will automatically remind you on the 1st of each month to confirm payment.
Important: Do not confuse Office Expenses with Case Expenses. Office overhead is absorbed by the firm; case expenses may be passed on to clients. Using the wrong module will distort your matter-level profitability reports.
