Scheduled Payments
Manage recurring financial obligations, track upcoming due dates, and receive alerts for overdue payments.

Overview
The Scheduled Payments page helps you manage all recurring financial obligations — loan instalments, insurance premiums, lease payments, and any other regular outgoings. The system tracks due dates and alerts you before payments fall overdue.

Scheduled Payments Table
The table shows all scheduled obligations with these columns:
- Description — Name or description of the obligation.
- Amount — Fixed payment amount per period.
- Frequency — Monthly, Quarterly, or Annually.
- Next Due Date — The next date payment is expected.
- Status — Pending, Paid, Overdue, or Cancelled.
Creating a Scheduled Payment
- Click Add Scheduled Payment.
- Enter a Description (e.g., "Office Lease — Tower Building").
- Enter the Amount.
- Select the Frequency: Monthly, Quarterly, or Annually.
- Set the Start Date — the date of the first payment.
- Optionally set an End Date if the obligation has a defined end (e.g., end of a lease term).
- Toggle Auto-Remind to receive a notification 3 days before each due date.
- Click Save.
Marking a Payment as Paid
When a scheduled payment is due, its status shows as Pending. Once the payment has been made:
- Click Mark as Paid on the relevant row.
- Confirm the payment date and amount (you can adjust if the actual amount differed).
- The system logs the payment in the Treasury and advances the Next Due Date to the following period automatically.
Overdue Alerts
Payments not marked as paid by their due date automatically flip to Overdue status and appear highlighted in red on the table. An in-app notification is also sent to the assigned accountant.
Tip: Review the Scheduled Payments table at the start of each month alongside the Treasury balance to confirm you have sufficient funds for all upcoming obligations.
Important: Cancelling a scheduled payment removes all future reminders. Only cancel if the obligation has genuinely ended — do not use Cancel to skip a payment.
