Manage the team calendar, schedule meetings, create deadlines, and toggle visibility of team members' events.

Overview

The Calendar module for managers provides a unified view of all team events. Unlike lawyers who see only their own schedule, you have the ability to overlay the calendars of every team member and manage scheduling at a firm-wide level.

Team Calendar Overlay

When you open the Calendar from the sidebar, you will see a panel on the left listing all team members. Each name has a colored checkbox:

  • Check a name to show that lawyer's events overlaid on the main calendar.
  • Uncheck a name to hide their events and reduce visual clutter.
  • Toggle "Show All" at the top of the panel to instantly display or hide every team member's events at once.

Each lawyer's events appear in a distinct color, making it easy to distinguish who owns each event at a glance.

Event Types

The following event types can be created from the calendar:

  • Hearing — Court session linked to a specific case. Appears on the assigned lawyer's calendar automatically.
  • Meeting — Internal team meetings or client consultations. You can invite specific team members.
  • Deadline — Hard deadlines for filing, submission, or case milestones. Appear as flags on the calendar.
  • Reminder — Personal or team-wide reminders. Do not appear on client-facing records.

Scheduling a Team Meeting or Deadline

  1. Click any empty date/time slot on the calendar, or click the + New Event button.
  2. Select the event type from the dropdown.
  3. Set the title, date, time, and duration.
  4. Under Participants, add the team members who should see this event on their calendars.
  5. Optionally link the event to a Case for context.
  6. Set a Reminder: options include 15 minutes, 1 hour, 1 day, or 3 days before the event. Participants receive a notification at the set interval.
  7. Click Create to save. All invited participants receive an immediate notification.
Tip: Switch between Month, Week, and Day views using the view selector in the top-right corner of the calendar. The Week view is most useful for spotting scheduling conflicts across the team.
Note: Deadlines created by a manager and linked to a case will appear on the assigned lawyer's calendar regardless of whether they are listed as a participant. This ensures critical deadlines are never missed.
