Case Expenses
Track, categorise, and report on all expenses incurred on behalf of clients and linked to specific cases.

Overview
The Case Expenses page tracks all disbursements made on behalf of clients during the course of representing them. Every expense is categorised, dated, and linked to a case so that it can be accurately reported and billed back to the client when appropriate.

Expense Categories
The system supports the following expense categories:
- Court Fees
- Travel & Transportation
- Expert Fees
- Stationery & Printing
- Communication (calls, couriers)
- Notary Fees
- Translation & Interpretation
- Other
Recording a New Expense
- Click Add Expense.
- Select the Category from the list above.
- Enter the Amount and Date the expense was incurred.
- Write a short Description (e.g., "Filing fee for case hearing on 15 Jan").
- Select the Related Case — this field is required for case expenses. Search by case number or client name.
- Upload the Receipt (PDF or image). This is strongly recommended for audit purposes.
- Select Approved By — the manager or partner who authorised the expenditure.
- Click Save.
Viewing Expenses
You can view expenses two ways:
- By Case — Open any case record and navigate to the Expenses tab to see all costs associated with that matter.
- By Period — Use the date range filter on the Expenses page to view all expenses within a given month or quarter.
Monthly Expense Summary
The summary section at the bottom of the page groups total expense amounts by category for the selected period, giving you a quick view of where the most disbursements are being made.
Tip: Always upload the receipt at the time of entry. Receipts attached to expense records can be used to generate a reimbursement invoice for the client with a single click.
Important: Case expenses are separate from Office Expenses. Do not log office overhead (rent, utilities) on this page — use the Office Expenses module instead.
