Overview

Scheduling appointments is a daily task for reception staff. AdlDesk allows you to book consultation slots, check lawyer availability, send confirmation messages, and manage rescheduling and cancellations — all from one place.

Creating a New Appointment

To create an appointment, navigate to Calendar and click the New Event button, or click directly on an empty time slot. Select Appointment as the event type. Fill in the required details:

  1. Client — Search for an existing client or note "Walk-in" if unregistered.
  2. Lawyer — Select the lawyer who will conduct the consultation.
  3. Date and Time — Set the appointment date and start time.
  4. Duration — Choose from 30 minutes, 1 hour, or 90 minutes.
  5. Purpose — Brief description of the consultation subject.
  6. Location — In-office, phone call, or video meeting.

Checking Lawyer Availability

Before confirming a slot with a client, open the Team Availability view from the calendar toolbar. Select the lawyer by name to overlay their existing schedule. Busy slots appear shaded — choose a free slot to avoid conflicts. Do not double-book a lawyer without first confirming with them via chat.

Sending Confirmation

If your firm has client notification enabled, AdlDesk will automatically send the client a confirmation message via email or SMS after you save the appointment. You will see a confirmation badge on the saved event indicating the message was sent.

Rescheduling and Cancellations

To reschedule, open the appointment on the calendar and click Edit. Change the date or time and save. The system updates the lawyer's calendar automatically. To cancel, open the appointment and click Cancel Appointment. Select a cancellation reason and confirm. Cancelled appointments remain in the system for audit purposes but are visually struck through.

Tip: When a client calls to reschedule, open the calendar first and identify two or three alternative slots before calling back. This makes the rescheduling conversation quick and professional.
Important: You cannot schedule hearing events — those are court appearances and must be created by lawyers or managers. If a client mentions a court date, note it in the client record and notify the responsible lawyer immediately.
