View the firm-wide calendar, filter by lawyer, create appointment events, set reminders, and use the daily agenda view.

Overview

The calendar gives you a comprehensive view of the firm's schedule so you can manage appointments, anticipate busy periods, and keep the front office prepared. As a receptionist, you can view all appointment and meeting events, filter by lawyer, and create new appointment events. You do not have access to hearing events or financial calendar entries.

Calendar Management

Viewing the Firm-Wide Calendar

Navigate to Calendar from the sidebar. By default the calendar shows all events for your firm in the current week. Events are color-coded by type: blue for appointments, green for meetings, and grey for blocked time. Switch between Day, Week, and Month views using the top-right toggle buttons.

Filtering by Lawyer

Use the Filter by Lawyer dropdown in the toolbar to narrow the calendar to one specific lawyer's schedule. This is useful when a client calls asking about a particular lawyer's availability or when you need to book a slot without conflicts. You can also display multiple lawyers simultaneously by selecting all of them in the filter.

Creating Appointment and Meeting Events

Click any empty time slot on the calendar and select the event type — Appointment for client consultations or Meeting for internal team meetings. Fill in the details including participants, location, and notes. Hearing events cannot be created here — those are managed by lawyers.

Setting Reminders

When creating or editing any event, expand the Reminders section to set notification times. You can set reminders at 15 minutes, 30 minutes, 1 hour, 24 hours, or a custom time before the event. Reminders are sent as in-app notifications. If email notifications are enabled, an email reminder is also sent to all participants.

Daily Agenda View

The Day view is the most useful for the reception desk. It shows a vertical timeline of the full day with each event displayed as a block in its time slot. This view makes it easy to see gaps between appointments and to quickly assess how busy the lawyers are at any given moment.

Tip: Use the Day view in the morning to review the full schedule before the office opens. Note which lawyers have back-to-back appointments so you know not to book walk-ins for them without first checking with the lawyer.
Important: Events you create are visible to all firm members. Do not create personal or unrelated calendar entries. The firm calendar is a professional scheduling tool and should reflect only official appointments and meetings.
