Record and categorise case-related and operational expenses with receipt uploads and approval tracking.

Accessing the Expenses Page

Expand Financial in the sidebar and click Expenses. The page lists all expense records with filters and a monthly summary at the bottom.

Expense Categories

When logging an expense, you must select one of the following categories:

  • Court Fees — filing fees, service fees, and other court-imposed charges.
  • Travel — transportation costs for hearings or client visits.
  • Expert Fees — payments to expert witnesses, forensic accountants, or technical consultants.
  • Stationery — office supplies, printing, and copying costs.
  • Communication — postage, courier, fax, and telecommunications.
  • Notary — notarisation and legalisation fees.
  • Translation — certified translation costs.
  • Other — any expense that does not fit the above categories.

Reading the Expenses Table

The table shows six columns: Date, Category (badge), Description, Amount, Case (linked case or "General" if not case-specific), and Approved By (the firm_admin who approved the expense).

Adding a New Expense

Click Add Expense. Fill in the form:

  1. Category — select from the dropdown.
  2. Amount — the expense amount.
  3. Date — the date the expense was incurred.
  4. Description — brief explanation of what the expense covers.
  5. Related Case — optional; link to a specific case if this is a case-related disbursement. Leave blank for general overhead.
  6. Receipt — upload a scan or photo of the supporting receipt (PDF or JPG, max 5 MB).

Click Save Expense. A firm_admin can then approve or reject the expense from the same row's action menu.

Monthly Totals Summary

At the bottom of the Expenses page, a summary table shows total spending per category for the current month. This gives a quick view of where the firm's operational budget is being spent without running a full report.

Tip: Always upload a receipt when possible. Expenses with attached receipts are easier to approve quickly, and they provide the audit evidence needed for accounting and tax purposes.
